Ease of use – Play&Perform has been designed to be simple to use for administrators and those making entries to the festival (parents, teachers, entrants themselves). For those entering the festival it provides a clear and easy-to-use way to view the details, make entries and pay for them. For administrators, the festival details are easy to view and update, and the latest information on entries is always available.
Online payments – Payments for entries can be made online by debit or credit cards or PayPal. Play&Perform uses the PayPal service to take payments securely which are paid directly to the festival.
Wide availablity – all that is needed to access Play&Perform is an internet-connected device (phone, tablet, PC) and a browser (e.g. Internet Explorer, Firefox, Safari, Chrome).
Customisation – you can customise Play&Perform to meet the needs of your festival. Change the colour scheme to match your own, add your logo, specify what information you need to collect for entries, format syllabuses, programmes and other documents.
Virtual events – with Play&Perform you can run a full virtual festival or a mix of virtual and live events. Entrants can make video or audio entries, adjudicators can view the performances and give their adjudication online. Optionally, you can allow entrants to view a virtual class and see the performances of their fellow entrants, and receive marksheets and certificates by email.
Remove duplication of effort – Play&Perform generates a syllabus which you can publish and make available directly on your website, and any updates to the information are automatically included in the published document. No need to enter the class details into the online entry system and also maintain them on your own website. Play&Perform can also generate programmes to be published on your website, or provide all the text needed (classes, entrants, running order etc) for you to include in your own programme document if preferred.
Share the workload – organising and running a festival takes a lot time and energy. Play&Perform helps alleviate this by allowing administrators to create system users to manage different sections and share the work. For example one user may look after Speech and Drama, and another looks after the Piano section.
Timetable management – organising festival timetables can be a complicated business, and Play&Perform helps with this by providing a clear and easy-to-use tool for creating timetables based on the entries made to each class. Any potential clashes with entrants being timetabled to be in two places at one time are highlighted. The timings and running order in each class can be updated, and breaks added to the schedule. If necessary, classes can be split and scheduled separately. The resulting timetable can be published directly to your website, and any updates will appear automatically in the published document. You also have the option of Play&Perform emailing personalised timetables for each entrant.
Trophy management – keep track of your trophies. You can use Play&Perform to maintain a record of who has which trophy, and the system can also send emails to remind trophy holders to return them.
Reduce costs – some festivals like to send tickets and other documentation to entrants. Play&Perform can send these by email directly to those who made the entries, saving on printing and postage costs.
Support fundraising – in addition to taking online payments for entries, Play&Perform can help with fundraising by inviting those making entries to add a donation and, where applicable, collect gift-aid consent. Orders for programmes and payment taken.
Safeguarding – safeguarding of children and vulnerable adults entering festivals is of paramount importance, and local authorities often have differing requirements for the information they want to see about entrants. Play&Perform lets the festival decide what data they need to collect about entrants, asks for the information when entries are made and stores it securely.
Your festival, your data – Play&Perform provides the services to enter and manage the festival details, documents and entries but the data belongs to, and is controlled by, the festival. The system supports festivals in complying with the General Data Protection Regulation (GDPR) by ensuring consent to use personal data is obtained appropriately and by providing the tools for users and administrators to manage their data. Play&Perform processes the data on behalf of the festival and does not use it for any other purpose and does not share or sell any data to anyone else.
